Google Drive is an accomplished cloud workspace, giving teams shared storage, synchronised access and familiar live document tools. For ordinary internal collaboration, it is a strong choice.

Google Drive offers capable controls, although the organisation must configure them carefully
Drive can share files with specific people, groups or broader audiences. Workspace administrators can restrict external sharing, allow access only to trusted domains and apply policies to organisational units or groups. Google also provides data loss prevention rules that can detect sensitive content and block or limit inappropriate sharing on supported editions.
Those are serious business controls, but they reflect the platform's breadth. A team can work internally, invite an agency or create a link. The organisation must decide which route is acceptable for each category of information, then configure and enforce that decision consistently.
MX removes some of that choice from the sensitive-file workflow. Access is assigned to approved or named recipients rather than an unrestricted public link. Multi-factor authentication can add another identity check, while configurable expiry and permissions limit how long the exchange remains open and what the recipient can do.
The practical advantageA secure control has more value when it is part of the ordinary workflow. MX is designed so that identifying the recipient and recording the exchange are routine steps, rather than optional precautions added by the most security-conscious sender.
Both platforms protect data, but MX adds an exchange-specific layer
Google encrypts Workspace data in transit and at rest. Selected editions can also use client-side encryption, which protects supported content in the browser before it reaches Google's storage. Drive further offers audit events and data loss prevention through relevant services and editions.
MX uses AES-256 encryption as one part of a wider security model that includes named access, permissions, multi-factor authentication and audit trails. Relevant Enterprise configurations can also use ASR, which stands for Anonymise, Shard and Restore.
ASR anonymises the information, separates it into multiple protected shards and restores it for the authorised recipient. A single readable file is not retained in one place through that process. ASR is separate from conventional encryption and should be viewed as an additional method of protecting sensitive information, not a promise that every current or future risk disappears.
Security should answer a business question, not merely name a technology
- Who can open the file? Identity-bound access narrows the intended audience.
- How long is access available? Expiry prevents an exchange remaining open indefinitely.
- What can the recipient do? Permissions and download conditions shape onward use.
- What can the organisation prove? Audit records turn activity into usable evidence.
MX makes the external handoff easier to review as a complete event
Google Workspace administrators can search Drive log events and investigate actions across the organisation. These logs are valuable for security monitoring and broader administration. The challenge is one of emphasis: the record belongs to a large collaboration environment containing many files, users and actions.
MX organises history around the exchange. Uploads, recipients, access, downloads and comments remain connected to the transaction. When a manager asks whether a supplier downloaded the latest package, the answer is closer to the business event itself.
This does not make MX a compliance shortcut. UK GDPR, the Data Protection Act 2018 and ISO 27001-aligned processes still depend on lawful processing, retention, contracts, staff behaviour and wider governance. MX provides supporting controls and evidence, while the organisation remains accountable for configuration and use.

Google Drive can store very large files, while MX removes the fixed transaction limit
Drive supports most individual file types up to 5 TB, provided the account has enough storage. That will cover many technical and creative files, although delivery still follows the wider Workspace sharing model.
MX advertises no platform file-size limit for transactions. That can be useful when exchanging CAD assemblies, engineering models, software releases, high-resolution media or complete due-diligence datasets. The sender does not need to compress the material, divide it into several archives or introduce an unapproved transfer service because the package has crossed a product threshold.
Network speed and local storage still matter. Removing the platform limit does not make a slow connection fast, but it removes one reason for fragmenting the exchange and weakening version control.
