File sharing & workflows

Business file sharing workflows

Choose a guide for the job at hand: collecting documents from a client, sending a large project folder or managing a regular supplier exchange.

Start with your situation

What does the recipient need to do?

For an upload, start with the documents you need back. For a release, start with the package the receiving team needs to open.

Make a more informed decision

Build a handover that works at both ends

01

Test the complete package

Open the exported folder from a separate location to check that links, references and supporting documents travel with it.

02

Check the receiving experience

Have a colleague act as the customer. Can they identify the current version, open it and tell what response is expected?

03

Agree when access ends

Choose an end date around the work and give someone responsibility for extensions and replacement releases.

Example: an engineering handover

Send the assembly, referenced parts and agreed drawing revision as one package. Ask the receiving engineer to confirm it opens as intended. Record any missing items against the same handover before closing access.
